Privacy policy
This policy explains how Clevrdesk collects and uses personal information when you visit clevrdesk.com, fill in our free plan form, contact us, or become a client.
Who we are
Clevrdesk is a trading name of Michael Durrant, a sole trader based in the United Kingdom. We are the controller of the personal information described in this policy. You can contact us about privacy at info@clevrdesk.com.
What we collect
- When you fill in the free plan form or contact us: your name, business name, location, website or social media, email or WhatsApp number, and the details you tell us about your business and how it takes bookings.
- When you become a client: billing details, the messages we exchange, and the business information needed to set up your system. Card payments are handled by our payment provider; we never see or store your full card number.
- When you visit the website: our hosting provider automatically processes basic technical data, such as your IP address and browser type, to deliver the site and keep it secure. The website does not use advertising or analytics cookies.
The live demo on this site runs in your browser. The details you type into it are not sent to us or stored.
How and why we use it
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry, preparing a plan and arranging a call | Our legitimate interest in responding to people who contact us |
| Providing our services, invoicing and support | Performing our contract with you |
| Keeping business and tax records | Legal obligation |
| Running and securing the website | Our legitimate interest in a working, secure website |
We don't sell your information, and we don't use it for automated decisions about you.
Who we share it with
We only share information with services that help us run Clevrdesk, and only as needed:
- Website hosting and email routing: Cloudflare
- Email: Google (Gmail / Google Workspace)
- Web fonts: Google Fonts, which receives your IP address when the page loads its fonts
- Payments: Stripe [or the payment provider named on your invoice]
- Messaging: WhatsApp (Meta), if you contact us there
- Our accountant, or authorities where the law requires it
Some of these providers process data outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or standard contractual clauses.
How long we keep it
- Enquiries that don't become clients: up to 2 years after our last contact.
- Client records and invoices: 6 years after the end of the tax year they relate to, as required for UK tax records.
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, or receive a copy in a portable format. Email info@clevrdesk.com and we'll reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to sort it out first.
Our clients' guests
When we set up a booking system for a client, the client is responsible for their guests' personal data and for their own privacy notice. We only access guest data to build and support the client's system, on the client's instructions.
Changes to this policy
We'll update this page if anything changes, and show the new date at the top.
